Change is difficult when people don't know where to turn for information.
As TU Berlin grew and evolved, internal communication and knowledge became increasingly fragmented. Without a central intranet, reaching colleagues consistently, giving people a trusted place for information and creating opportunities for feedback were difficult.
TU Berlin partnered with Haiilo to change that.
By bringing communication, knowledge and two-way conversation into one central digital workplace, TU Berlin created a stronger foundation for helping its university community understand change, find trusted information and stay connected as the organisation evolves.
The Challenge: Growth created communication complexity
As TU Berlin grew, so did the complexity of keeping its community informed and connected.
Without a central digital hub, the university faced three challenges that become particularly important during periods of change:
No single source of truth
Employees lacked one central destination where they could reliably find current university information, making it harder to know where to turn when processes, priorities or information changed.
Communication was largely top-down
TU Berlin wanted to move beyond simply broadcasting information and create ways for employees to respond, contribute and provide feedback.
Fragmented information
Information was distributed across different areas and tools, making it harder for employees to navigate the organisation and find what they needed.
TU Berlin needed more than another communication channel. It needed an infrastructure that could make change easier to communicate and easier for people to navigate.
The Solution: One place to navigate a changing university
TU Berlin set out to create a modern, user-centric intranet that would provide employees with a consistent place to find information, understand what was happening and participate in university life.
One trusted destination
Haiilo gave TU Berlin a central digital home for university communications and knowledge, reducing the need for employees to navigate fragmented sources to find relevant information.
Communication that becomes a conversation
Instead of relying solely on top-down communication, TU Berlin could create more opportunities for employees to respond, share feedback and discuss the topics affecting the university community.
An intuitive experience that removes barriers to adoption
Haiilo's usability meant introducing the new platform itself didn't have to become another complex change project for employees.
Key Results: Making change easier to navigate
Onboarding in under 60 minutes
Haiilo’s intuitive experience enables employee onboarding and training to be completed in less than an hour, so new students and employees understood TU Berlins way of working fast.
One place to find trusted information
Employees have a central destination for university information, helping reduce uncertainty around where to look when information changes.
From communication to participation
TU Berlin has a reliable channel for communicating with colleagues while also providing opportunities to collect feedback and encourage dialogue.
Bringing Communications and IT together
Building the intranet brought Communications and IT into much closer collaboration, combining technical architecture with employee communication and experience.
Creating a home for a changing community
The platform gives TU Berlin's community somewhere to gather around the topics that affect them, rather than simply consuming centrally published information.
“The role of the intranet today shouldn't be underestimated in terms of its cultural impact on our university. We have a central place to gather internally, discuss topics that move us as members of the university, and exchange ideas with one another.”
